Our government client is seeking 8 Mailroom Clerks with Secret clearance.

Duties

M1Must have a minimum of 6 months experience working in a mailroom environment performing duties such as receiving, processing, sorting, distributing incoming/ outgoing classified/ unclassified mail and courier packages.  
M2Must have a minimum of 6 months experience entering and extracting data from a mail tracking system such as Pitney Bowes Ascent & Arrival, FedEx Tracking, Canada Post or any other similar program.  
M3Must have a minimum of 6 months experience providing client services. 
M4Must have a valid Secret clearance.  
M5Safety shoes must be worn at all time. 
 Desirable, but not mandatory (reference Check)
D1Experience using Pitney Bowes Software Arrival & Ascent.
D2Experience working in a government mailroom environment.
D3Experience using Microsoft Excel, Word and PowerPoint.
D4Valid electric lift licence


 

Tasks - Deliverables

Receive, sort and scan incoming and outgoing mail which includes documents and a variety of items/materials; input pertinent information in the division’s mail management tracking system (MAPS); ensure items/materials sent for inclusion in diplomatic mail are acceptable i.e. they do not contravene departmental policies or airline regulations governing the shipment of materials and the handling of dangerous goods.  Follow established departmental diplomatic mail and security procedures and guidelines to process unclassified and classified diplomatic mail; and follow Canada Post Postal regulations and procedures to process regular mail. Follow operating and safety procedures to use mailroom equipment (e.g. scanners/trackers, postal scales, postage machines and a manual or electric lift truck) and report operational problems to the project authority. Contact commercial courier companies to obtain price quotes for the delivery of shipments to national/international destinations; and contact local courier companies to obtain price quotes for local mail deliveries and coordinate the pick-up and deliveries. Ensure that requested services have been provided and verify that the price is appropriate as per the rates for services received. Inform the project authority of unauthorized individuals entering the distribution center from outside or, if there are any concerns about suspicious letters or parcels containing prohibited materials that may require alerting the proper authorities.
Coordination effort is required to sort, record incoming and outgoing mail and to distribute approximately 5000 pieces of mail daily. This includes lifting heavy parcels that could weigh up to 40kgs and more, walking and standing for long period of time, using electric and/or manual lift truck and other machines. Effort is required to observe individuals entering the mailroom from outside and determine if the proper authorities should be alerted. Concentration effort is also required due to the large volume of mail required to be analysed / recorded in the mail automated tracking system and delivered to proper destination with a minimum error rate. Working in a noise and dusty environment.
